Your Mission  

•  You will be part of the Operations team, and will report to our Finance Director, where you will take on the following tasks.

•  Your responsibilities will be structured around 5 themes: 

Facility management 

  • You are responsible for the proper functioning of our office (maintenance of equipment, logistic for meetings, ...);  

  • You manage and purchase canteen and office supplies and you process incoming and outgoing mail; 

  • You actively manage the office Budget;   

  • You are the Fairtrade contact for Mundo-B (security, internet, phone connection, archive room,…). 

Assistance to the general manager and the Board 

  • You give support to the general manager by managing his agenda, preparing presentations, writing letters, preparing expense notes, …; 

  • You are responsible for the organization of board meetings and general meetings, and for collecting the needed meeting documents. 

Administrative support of all departments 

  • You help manage the organization's agenda;  

  • You organize internal and external meetings as well as identify and book the venues for them; 

  • You organize trips and book hotels for colleagues and guests and ensure travel arrangements; 

  • You will help organize team and corporate events (invitations, logistics); 

  • You give support to the different teams by preparing presentations, writing letters, giving administrative support in projects, taking minutes during meetings, .. . 

Telephonic support and reception: 

  • You ensure fast and effective handling of questions and actions arising from telephone and e-mail traffic; 

  • You welcome our guests and make them feel at home at Fairtrade Belgium. 


  • You make sure our new starters feel welcome and have all the tools they need (onboarding); 

  • You ensure that everyone has access to the necessary applications and platforms. 

Your Profile  

  • You are an administrative polyvalent and you want to grow in a broad position; 

  • You enjoy picking up a broad and supportive range of tasks; 

  • You obtained a bachelor degree or you are equivalent through experience;  

  • You have a minimum of 2 to 4 years of experience in a similar function. 

  • You work accurately, in a structured way and can prioritize; 

  • You are proactive and service minded; 

  • You like to work independently but are also a team player; 

  • You can express yourself fluently in Dutch, French and English; 

  • You can work fluently in MS Office, especially in word, power point and excel.
